How to set up a purchasing system and inventory

A simple purchasing system answers four questions: who may order, from which supplier, at what price, and who checks the delivery. An inventory then shows what you have, so you order what you need and see what it costs.

The purchasing system

  • A list of approved suppliers and their contacts
  • Order lists with agreed prices and terms
  • Clear rules on who may order and who approves
  • Delivery checks against the order
  • Invoice checks against the delivery and agreed price

The inventory

  • Items grouped by category and storage location
  • The same unit for every count
  • Counts at fixed moments, for example monthly
  • Minimum stock levels for items you cannot run out of

Reviewing the figures

Compare purchases and stock counts each period. Large differences point to price changes, waste or errors that are worth investigating. Compare suppliers again at fixed moments, such as once a year.
